Steps to migrate a SmartController PC

Specific steps should be followed to migrate a SmartController PC to ensure data continuity. Follow the below and schedule around 20 minutes of downtime for the actual migration, depending on the size of the database to copy and additional interfaces.

Instructions

 

  1. Stage new server PC ensuring that you have matched SQL and Bepoz versions from the machine to be decommissioned. At this stage the new server PC should still be on DHCP. Check Power and sleep settings, Windows update schedule and Windows welcome experience

  2. At the start of the scheduled outage, when actually ready to migrate start off by closing the smart controller on the departing machine. Check if RMSServer/ResLink/CALink are running and take a copy of the settings to be restored on the new machine. If venue is using any online ordering, make sure the right storeproc has been installed on the new machine also. If Xero/MYOB interfaces are running you’ll also need to take a copy of the config file and ensure that the correct application files are installed on the new machine. If you’re not sure about any of these STOP here and ask for help.

  3. Create a full backup on the old machine and copy to the new machine. Zip only should suffice

  4. Extract zip file and restore the database on the new machine, running update tables once it has restored and ensure workstation is correct especially for a MV server. Flag Use SQL Login and recreate Bepoz login. Check autostarts.

  5. Run smart controller on the new machine and update the auth code to license it in CMP

  6. Run BepozDiags, pointing at the smart controller address 127.0.0.1 and run auto fix Server settings to ensure everything is correctly configured. Expect to have to restart SmartController and SQL a couple of times. If Diags doesn’t restart the SQL service, restart each time manually via Services

  7. Close SmartController in preparation for Network setup

  8. On the Old machine, take a screenshot of network settings (taking note of secondary IP addresses) and change to DHCP to free up the expected server IP. Ensure IP address has changed as in some cases the IP address is assigned to a MAC address by the router. If need be change manually to something else that's available

  9. On the new machine, configure the network settings to match what the old machine previously had. N.B. In Windows 11, make network setting changes from Control Panel, Network and sharing center as the primary network config panel in Windows 11 has a habit of only changing half of the required settings

  10. Start smart controller on the new machine and tills/printers/head office should all come online

  11. Run BepozDiags again on the new machine and point the smart controller address to the new IP address

  12. Cleanup Time: On the old machine, once you’re happy that the new machine is functioning as expected. Turn off Auto Starts in Database.exe. Delete the Bepoz database via SMSS and then delete the Bepoz folder from the PC. This will ensure that if the PC is switched on again, there is no chance whatsoever of the tills connecting to the wrong database as this can cause an absolute nightmare to fix.
