Accounts and Account Profiles

2 | Account Maintenance Overview

This article covers the foundational concepts of Accounts and how they can be created and maintained in BackOffice. Accounts can relate groups or individuals to particular pricing and Point Profiles. Accounts can be used for the following: Membership Systems where loyalty members receive a discount or bonus points; External Accounts for specific credit or discount limits; Internal Accounts including discounts denoted by staff level or management discretion.

Accounts can relate groups or individuals to particular pricing and Point Profiles. Accounts can be used for the following: Membership Systems where loyalty members receive a discount or bonus points; External Accounts for specific credit or discount limits; Internal Accounts including discounts denoted by staff level or management discretion.

Account Settings are vital in organizing your Accounts and in-house policies so as to be able to properly track, record and access your patron movements and trends, as well as monitoring any internal transactions.

Prerequisites 
  • To access Account Maintenance features, the applicable Operator Privileges will need to be enabled 
    • Operator Maintenance 'Maintenance' Tab
      • All "Accounts & Memberships" Flags
    • Operator Maintenance 'Reporting' Tab
      • Other Reports: "Maintain Saved Reports" Flag

Feature/ Function 

 Description & Information

A. Print List

  • Prints the Account List currently in view from the Account Screen to PDF
B. Save Report
  • Saves the Account List currently in view as a Report

        

  • The Report can then be found in My Saved Reports

        

  • It can also be found in Other Reports; under Saved Reports

         

C. Export List
 
  • Exports the Account List currently in view using one of several Export Formats available

         

D. Hide Headers
  • Hides Header information from view
E. Account Search
  • Allows searching for Accounts using Last & First Name, Account Number, or Card Number
F. Add New Account
  • Adds a New Account
    • Gives an option to Use a Blank Account or to use an Existing Account as the Basis for a New Account
G. Edit Account
  • Opens the Account Maintenance window for the highlighted Account, allowing the Account's Settings to be Edited
H. Account Profiles
  • This allows for Creating Preset Profiles of Accounts for Reporting and Promotions
    • This will open a new Account Profiles Tab where Operators will have options to Add and Edit Account Profiles
I. Add New Group
  • Adds a New Account Group to the All Parent Groups List
    • Use this to create layers of Accounts and/or for creating additional Groups of Accounts to run various reports on

      After creating a new Account Group, select the settings to assign to all Accounts that will be added to the Group when enabling the Use Group Settings flag for those Accounts. 

J. Account List
  • This controls how Operators can View their Account Groups and Individual Accounts
    • View as the Full Tree of Operator Groups, List Only, or Hide List and show all Individual Operators in one view
K. Profile Drop-down Selector
  • This filter can be used to filter the viewable list of Accounts to Accounts that belong to the Profile that has been selected
L. Views
  • This allows changing which Account information Operators are viewing
  • These are the Default Views to select from

         

  • Additional Views can be created to suit Operator's need by clicking on the Views Icon
M. Filter
  • Use this to set criteria to the list of Accounts in View to narrow down the Accounts based on the selected parameter
N. Sub Accounts Flag
  • Enabling this flag will show all of the Accounts within an Account Group when that Group is selected 
O. Inactive Flag
  • Enabling this flag will show Inactive Accounts
  • Disabling this flag will hide all Inactive Accounts

P. Edit Mode Icon

    • Clicking the Edit Mode Icon allows editing select Account information in the Account List window
      • This allows Operators to make edits to an Account without opening the Account Maintenance window
      • This can also be a time-saving option to make edits to multiple Accounts' information at one time

Once Edit Mode is enabled, an X Icon will replace the Edit Mode Icon, you will need to click the X Icon to Exit Edit Mode   

Q. List of Accounts
  • This is the list of Accounts that an operator is currently viewing based on Group, Profile, and Filtering criteria
