9 | Adding & Editing Purchase Order Templates

Purchase Order (P.O.) Templates are as easy to create as any other Purchase Order, however, have the advantage of being able to be used over and over again after initial creation.

This makes the process of creating P.O.s more efficient and consistent with less room for mistakes from one P.O. to the next.

After a P.O. Template has been created, it can be edited quite easily to make and save adjustments for future use of the Template.

These Templates can be used as-is when creating future Purchase Orders or can be used as a base where Products can then be adjusted prior to Posting.

Purchase Order Templates can be used via the following methods for Purchase Order creation: Manually creating a new Purchase Order using the "Copy an Existing" method,  Using the Scheduled Job "Job POTemplates".

Getting Started & Adding a P.O. Template

  • After logging into BackOffice, navigating to the Stock Control menu and opening the Purchase Order List, complete the following steps to get started with Purchase Order Templates and to add a new one:
  1. Enable the "Show Templates" flag above the list/grid; the buttons in the header section will change and the "New Template" button will be shown
  2. Click on the "New Template" button which will open a Supplier Selection window
  3. Select a specific Supplier from the list, or alternatively, select "All Suppliers"; a New PO Template window will open
  4. Click the "Add New Item" button
  5. Navigate through the Product List and add the desired Product/s
  6. Once the Template is complete, click "Save PO Template"


  • The template will now be listed in the Purchase Order List when the "Show Templates" flag is enabled



  • From here, the Template can be used for Purchase Order creation either manually using the "Copy an Existing" option or automatically using the Auto PO by Template scheduled job

Editing a P.O. Template

  • To edit an existing Purchase Order Template, simply select it from the list/grid and click the "Edit/Receive" button in the header
  • Make the necessary changes to the Template and re-save
