3 | Creating New Accounts

This article covers a step-by-step guide to creating new Accounts in BackOffice. Prerequisites 
  • To access Account Maintenance features, the applicable Operator Privileges will need to be enabled 
    • Operator Maintenance 'Maintenance' Tab
      • All "Accounts & Memberships" Flags

Creating a New Account
  • To add a New Account, follow these steps after logging into BackOffice:

 

  1. From the Maintenance menu, select Operator
  2. Select the Account Group for which New Account is being added by highlighting the Account Group in the tree
  3. Click the Add New Account button in the Header Section
    1. A window will open asking Operators to either Select a Blank Account or Copy an Existing Account
                                                                                  
    2. When creating a New Account, it is best to copy an Existing Account that is similar to the one that will be created
      1. By copying an Existing Account, certain Account settings will be copied into the new Account, and don't need to be set each time a New Account is created
    3. Alternatively, by applying settings to an Account Group, and then creating a New Account within that Group, the New Account will retain certain settings that have been assigned to that Group
    4. Operators can use any of these methods to Create the New Account
  4. An Account Maintenance window will then open

    • The Account Number and Card Number will auto-populate based on the Order in which the Account was created, however, both fields can be changed 

  5. It is mandatory to enter at least a Last Name while creating an Account

    • This is the bare minimum requirement to create a new Account; Operators may fill in additional fields and edit settings prior to finishing
      • Information on editing other details and settings will be contained in the next few sections

       

  6. Click OK and the New Account will now be added

  • Most settings will transfer over when copying an Existing Operator to a New Operator
  • However, there are several Operator settings that are never copied; these include:
    • Account Number
    • Card Number
    • Title
    • First Name
    • Last Name
    • Details & Address

   Setting/Configurations    

  Description & Information

Account Number
  • This number is used to Identify the account
Card Number
  • When an Account is using a Magnetic Card, this is where the Card Number is defined
  • It is often different to the Account Number and it is  the number which the system will correlate between the account holder and Magnetic card they use to access their account
    • The Card Number is usually present on the card
Title
  • This is the salutation of the person on the Account, i.e. Mr, Mrs, Dr, etc.
First Name
  • First Name is optional and is the first name of the Account
Last Name
  • The last Name is a required field and is the last name of the Account

Account Group

  • This is the group to which the Account holder belongs 
  • This is a drop-down menu of all available Groups of Accounts
  • It is important as to where in the Account Group tree the holder will fall and this is particularly important when it comes to using Group Settings

    

Status
  • This is a drop-down selector which designates the Current Status of the Account and can be changed accordingly
  • There are six (6) different status options for the account
    • OK means the account is fully functioning as per its settings
    • On Hold, Pending, and Suspended will all disable the account
      • All three of these options stop any usage of the Account, however, do not hide them from normal view within the system
      • They will remain visible yet highlighted in dark red
    • Inactive and Deceased will both disable the account and hide it from normal view
