This article details how to set up Default Email Overrides which allows Organisations to use different emails accounts for different emailing purposes. The Default Email Overrides is an enhancement to the email communication capabilities that were available in previous versions prior to the 4.7 release.

The Default Email Overrides is an enhancement to the email communication capabilities that were available in previous versions prior to the 4.7 release.

This enhancement enables Different Email Types to be configured for different purposes such as emailing the following: Purchase Orders to Suppliers, To Accounts, To Operators, Reports, Receipts from SmartPOS, and Statements to Members

The Email Types are limited to these six (6) options which cover a multitude of email and messaging options via Bepoz.

Getting Started

  • To set up Email Overrides for a Venue, open the Venue Maintenance and click on the Messaging & Billing tab
  • From the “Email Setup” section, first ensure that the email settings such as Email Server, Email Name, etc. have been correctly configured with valid data (link article – Messaging & Billing Tab – Venue Maintenance)
  • The Email Name, Password, From, and Signature configured here is what will be used when an Override is not being used
  • NB: The Email Overrides will only work when a Valid Email server has been setup

        


Default Email Overrides' Individual Setups

  • To set up an Email Override, first, expand the ‘Default Email Overrides’
  • Select the desired option available from the Email Type menu; the remainder of the box will dynamically change allowing for configuring the details the Email Type selected
  • Configure the Email Type with valid account details including Email Name, Password, From and Signature



  • Once complete, click on ‘Check Email’ to send a test email to ensure the email has been set up correctly and then Save the configurations
  • Repeat these steps for all additional Email Types

A Note for Multi-Venues

  • Since Default Email Overrides are set up at the Venue level, not all Email Types can be configured for Remote Venues
    • This is due to certain Email capabilities being limited to the HO which includes:
      • Purchasing & Receiving
      • Reporting Email
      • Statements
    • If attempting to set up an Override for one of these Email Types, a message prompt will be shown, and the action will be prevented
