1 | Introduction to Product Promotions

This article outlines a brief overview of Product Promotions and the relevant configurations that can be set in BackOffice. The Product Promotions screen can be used for a number of different purposes. It is often in relation to Price Promotions for specific Products or Multi-Buy setups. It can also be utilized in Voucher purchases for Products. The Promotions can be assigned with multiple Schedules and can be configured to include or exclude Cash sales, Account Sales, and specific Account Groups.

This article outlines a brief overview of Product Promotions and the relevant configurations that can be set in BackOffice. 

The Product Promotions screen can be used for a number of different purposes. It is often in relation to Price Promotions for specific Products or Multi-Buy setups. It can also be utilized in Voucher purchases for Products.

The Promotions can be assigned with multiple Schedules and can be configured to include or exclude Cash sales, Account Sales, and specific Account Groups.

Promos can be assigned to a specific Venue, Stores, Store Groups, and even individual SmartPOS Workstations.

Prerequisites 
  • To access Product Promotion features, the applicable Operator Privileges   will need to be enabled 
    • Promotions: "Maintain Product Promotions" Flag
    • Marketing & Promotions Tab 

Product Promotion Maintenance
  • To get started, log in to Backoffice
  • Go to Marketing & Promotions > Product Promotions
  • A Product Promotions Tab will open

  • To add a New Promotion, click on the "Add Product Promotion" button which will open a Product Promotion Maintenance window

General Settings 

 

Configuration Option

Description

Promotion Name
  • This is the Name of the Promotion
  • A descriptive name is recommended, particularly when there are many Promotions configured
Promotion Type

Price Promotions

  • These are typically used to put specific products on special for any period of time whether it be for an extended period of time such as one day to a month or a partial period of time like an hour or two each day
  • These can also be used for Members / Account Pricing
  • Price Promotions can also be used to assign specific Bonus Points to products
    • This can be to increase the Bonus Point value for a Promotion or can be set to zero to exclude specific Products from earning or redeeming Bonus Points

Multi-Buy Promotions

  • These are commonly used where the Promotion is triggered by selling a certain quantity of a product, or by selling a certain combination of Products
  • This is often used in bottle shops, liquor stores, etc. where any two of a selection of Products are sold for a set price or where buying one Product will get customers another at a discounted price

Voucher Price Promotions

  • These are designed for situations where a voucher is what initiates the Product Promotion
  • There are no schedules with Voucher Price Promotions
    • As the vouchers are prompting the promotion they have an expiry date, not the promotion
Discount Totaliser
  • The Discount Totaliser is used for reporting purposes so that the difference between the Normal price and the Promotion price can be tracked
    • The system allows for up to sixteen Discount Totalisers
    • These can only be changed by Bepoz Support Personnel.
  • All Promotions need to be assigned to a Discount Totaliser
    • The Discount Totaliser will report the difference between normal price and the discounted price. This allows operators to see the total cost of the Promotion on the POS workstation Balance
On Permanently
  • When the On Permanently flag is checked No schedule needs to be set which means there is No end date so the promotion has to be accessed and turned off manually when it is finished, by checking the Disable flag
Priority
  • Promo with a lower number will be processed first and therefore have a higher priority
Disable
  • When on, the Promotion is disabled and will not be used by the POS workstation
  • This is useful if there is a particular day where the promotion would normally run but needs to be temporarily disabled; e.g., Public Holiday

Filters

 

Configuration Option 

Description & Information

Venue(s)

  • This filter is used to only apply the Product Promotion to a specific Venue and will not work in other venues

  • This is only required to be set in a Multi-Venue environment

Store(s)

  • This filter is used to apply the Product Promotion to POS workstations in a specific Store or Store Group only and will not be active in other stores

  • In a Multi-Venue system, the appropriate Venue must be selected before a Store for that Venue can be selected

Till(s)

  • This filter is used to apply the Product Promotion to a specific POS workstation

    • The Promotion will not be active on other POS workstations
  • Operators first must select a Store or Store Group in the Store filter before they can select a POS workstation

Account Profile

  • Select the account profile that this product promotion applies to

 

      Schedules

       

      • Schedules allow for the Promotion's times and dates to be automated in advance, meaning NO manual human interaction is required to trigger the promotion and that an organization can guarantee that the correct promotions are run at the correct an appropriate times only
      • To Add a new schedule; select the Add button to the right of the Schedule Display Box
      • A new window will appear as shown below:

       

       

         

             
          • The overall Start and End Dates control when the promotion is valid from and to, if this is blank then the promotion will run perpetually
          • Session Start and End Times control when the promotion will be active on the given day
          • If promotions run at different times on different days/dates or at more than one time per day, multiple schedules can be Added
          • A promotion can have many schedules attached to it that means there are fewer requirements for duplicating promotions and enhances the reporting functionality

           

          Promotion Sales Totals

          • Promotion Items Quantity Sold
            • This is the number of Products that have been sold on throughout the Promotion 
          • Promotion Items Gross Sales
            • This is the Gross Sales amount before the Promotion is applied 
          • Promotion Items Nett Sales
            • This is the Nett Sales amount at the Promotion price 
          • Total Promotion Discount
            • This is the total of the discounts given as a result this Promotion 
          • Promotion Items Cost of Sales
            • This is the total cost of the Products that have been sold on this Promotion
          • Print Promo Sales
            • This will open up a report of all promotion sales, the operator can choose a period to display create a new view use filter, save the report for later or print this report

          • Reset Totals
            • This button resets the Promotion Sales Totals back to zero
            • This is not reversible
