3 | Introduction to SmartPOS Messages

This article explains the basic Messaging functionality available in SmartPOS where Operators can send messages and memos to each other and to Members. Operators are able to send and receive Messages and Memos through SmartPOS Workstations. New queued Memos will appear when an Operator Logs On to a Workstation.

Operators are able to send and receive Messages and Memos through SmartPOS Workstations. New queued Memos will appear when an Operator Logs On to a Workstation.

Operators can access the Messaging Functions to Check for Messages and to Send Messages to other Operators and/or to Accounts. After receiving a Memo, an Operator will have the option to Reply to the Memo and can also choose to Print and/or Save the Memo.

Preset Messages can be sent quickly by just tapping a Message Key where available.

Messaging configuration in BackOffice allows Contact Lists to be set up for sending Memos to other Operators.

Messaging Devices and Preset Messages can be configured in  Venue Maintenance on the Messaging & Billing Tab.

Messages at Log On

  • If Memos were sent to an Operator while they were logged off from SmartPOS Workstations, these Memos will queue and will appear automatically in a window the next time the Operator logs on to a Workstation
    • These Memos may have been sent through from another SmartPOS Workstation or through BackOffice
  • The Operator can view a Memo either by double-tapping on the desired Memo or by highlighting and tapping on the View Memo button


  • Alternatively, the Operator can choose to view all current Memos which will include saved Memos

    


  • Or the Operator can tap the Exit List button to close the Memos window and return to the main SmartPOS screen; in this case, the Memos will be saved and can be accessed at a later time

Messages using the "Flat" Till Scheme & Operator Details

  • When the "Flat" Till Scheme is being used Globally throughout the Organization and a Workstation's Design is configured to show the Operator Details in the SmartPOS Widget Panel, a Messages button will appear in the panel
  • The Messages button can be used to easily access the Operator's Messages & Memos so that they can respond in a time-efficient manner
  • When an Operator has unread Messages, a small red notification badge will appear on the Messages button indicating the number of unread Messages
  • Clicking on the Messages button will open a window displaying the Operator’s Current Messages/Memos
  • After selecting a Memo from the window, a Message/Memo window will open showing detailed message information and will offer assorted options for how the Operator can proceed - by responding to the message, printing, saving, or deleting
  • If the Operator doesn't have any Messages or Memos, there won’t be a notification badge on the Messages button and if the button is tapped, a prompt will appear on screen informing that there are no Operator Memos to Display

        


Messaging Function Panel

  • To access the Messaging Function Panel, tap on the Messaging button
  • The Function Panel will change to display the Messaging Function Panel
    • Due to customization capabilities in Bepoz, this and other Function buttons may be located elsewhere and/or may be labeled differently


  

  • From this Function Panel, an Operator can view their Messages, send a Manual Message to another Operator/s, send a Preset Message to another Operator/s, or send Messages to an Account
  • Function Panels and Keys can be customized in BackOffice within System Setup and Till Function Maps
