9 | Multi-Currency Reporting

This article covers an overview of Currency Related Reports in BackOffice. Multi-Currency Reporting is to be used in Organizations where at least one Venue uses a different Local Currency than the others.

Multi-Currency Reporting is to be used in Organizations where at least one Venue uses a different Local Currency than the others.

A limited Multi-Currency option has been added to the following Reports: Till Summaries; Operator Summaries; Product Summaries; Stock Summaries; Sales Report Creator

The daily Exchange Rate is saved along with each day's Sales Data - meaning historical Reports will use the actual daily Exchange Rate from when the Sales were made - not just the current rate at the time the Report is run.

Prerequisites 

  • To access Global Settings and Report features, the applicable Operator Privileges   will need to be enabled 
    • Operator Maintenance 'General' Tab
      • System Setup: "Access Venue, Stores, & Tills" Flag
      • System Setup: "Maintain Venue, Stores, & Tills" Flag
    • Operator Maintenance 'Reporting' Tab
      • All "Sales Report" Flags
  • To access Report features, the applicable Operator Privileges   will need to be enabled 
    • Operator Maintenance 'General' Tab
      • System Setup: "Access Venue, Stores, & Tills" Flag
      • System Setup: "Maintain Venue, Stores, & Tills" Flag
    • Operator Maintenance 'Reporting' Tab

Global Settings Base Currency

  • To utilize Multi-Currency Reporting, a Base Currency Code must first be recorded for the Organization
  • The setting for entering the Organization's Base Currency can be found on the Global Settings 'Main' Tab
  • The Local Currency Code entered should be the Standard Currency Code used for Exchange Rate Conversion; e.g., USD, AUD, NZD, GBP, EUR
  • When a Currency Code is entered into this field, a Reporting Option called Convert to XXX (where XXX is the Base Currency Code) will be added to the following Reports:
    • Till Summaries
    • Operator Summaries
    • Product Summaries
    • Stock Summaries
    • Sales Report Creator

    


Venue Settings Local Currency & Exchange Rate

  • For each Venue that uses a different Currency than the Organization's Base Currency that has been set in Global Settings, the Venue's Local Currency will need to be entered on the 'Main' Tab of Venue Maintenance
    • The Currency Code of the Local Currency will need to be entered into the provided field; as with the Base Currency Code, the Local Currency Code should be the Standard Currency Code used for Exchange Rate Conversion; e.g., USD, AUD, NZD, GBP, EUR
    • An Exchange Rate field is also provided for entering the Venue's Local Currency Exchange Rate to the Organization's Base Currency; i.e., 1 NZD = .9053 AUD
      • If  updating the Exchange Rate manually, it's recommended to do so at least weekly, but preferably daily
      • Alternatively, the Exchange Rate can be auto-populated using the Get Currency Rate Job which will be detailed in the next section of this article
  • The Local Currency fields only need to be set if the Venue uses an alternate Local Currency than is set as the Global Setting Base Currency Code


Affected Reports

  • As mentioned previously, when a Currency Code is entered into the Base Currency Code field in Global Settings, a Reporting Option called Convert to XXX (where XXX is the Base Currency Code) will be added to the following Reports:
    • Till Summaries
    • Operator Summaries
    • Product Summaries
    • Stock Summaries
    • Sales Report Creator

Till Summaries

  • When running a Till Summaries Report for any Venue/s that use/s an alternate Local Currency to the Organization's Base Currency, the Convert to XXX flag can be used to toggle between viewing the data as the Venues' Local Currency or viewing as the Organization's Base Currency
    • When this flag is disabled, all monetary amounts in the Report will be in the Venues' Local Currency
    • When the flag is enabled, all monetary amounts are converted to the Organization's Base Currency

    


Operator Summaries

  • When running an Operator Summaries Report, any Operators who have Transactions in a Venue/s that uses a Local Currency different to the Organization's Base Currency will have data affected by the Convert to XXX flag
  • The Convert to XXX flag can be used to toggle between viewing the data as the Operators' Venues' Local Currency or viewing as the Organization's Base Currency
    • When this flag is disabled, all monetary amounts in the Report will be in the Venue's Local Currency
    • When the flag is enabled, all monetary amounts are converted to the Organization's Base Currency

    


Product Summaries

  • When running a Product Summaries Report for any Venue/s that use/s an alternate Local Currency to the Organization's Base Currency, the Convert to XXX flag can be used to toggle between viewing the data as the Venues' Local Currency or viewing as the Organization's Base Currency
    • When this flag is disabled, all monetary amounts in the Report will be in the Venues' Local Currency
    • When the flag is enabled, all monetary amounts are converted to the Organization's Base Currency

    


Stock Summaries

  • When running a Stock Summaries Report for any Venue/s that use/s an alternate Local Currency to the Organization's Base Currency, the Convert to XXX flag can be used to toggle between viewing the data as the Venues' Local Currency or viewing as the Organization's Base Currency
    • When this flag is disabled, all monetary amounts in the Report will be in the Venues' Local Currency
    • When the flag is enabled, all monetary amounts are converted to the Organization's Base Currency

    


Sales Report Creator

  • When running a Report through Sales Report Creator for any Venue/s that use/s an alternate Local Currency to the Organization's Base Currency, the Convert to XXX flag can be used to toggle between viewing the data as the Venues' Local Currency or viewing as the Organization's Base Currency
    • When this flag is disabled, all monetary amounts in the Report will be in the Venues' Local Currency
    • When the flag is enabled, all monetary amounts are converted to the Organization's Base Currency

    


Printed Reports

  • When Multi-Currency Reporting is in use, any Report which is affected by the Currency Conversion will have a line added to the header which will indicate whether the Report data Printed is using the original Local Currency or the converted Base Currency 
    • When the Convert to XXX flag is enabled, the line in the header will read 'All amounts are converted to XXX'
    • When the Convert to XXX flag is disabled, the line in the header will read 'All amounts are totaled in their original currency'
