Prerequisites 
  • To access and edit Operators, the applicable Operator Privileges will need to be enabled:
    • Operator Maintenance 'General' Tab
      • All "Operator" Flags

Configuration Options Explained

  • To enable or disable all of the flags within a section with one click, simply click on the flag next to the section heading; i.e., to enable all of the General flags at once - enable the flag next to 'General'

Description

Visual/s (if applicable)

Operate Tills
  • If this flag is enabled, the Operator has access to SmartPOS Workstations
 
Compulsory Tendering
  • If this flag is enabled, the Operator must enter the Tendered Amount when Finalizing a Transaction
    • Upon selecting the Cash Key to Tender a Transaction, they will be prompted to enter the Tender Amount

 

 

'No Sales' Allowed
  • If this flag is enabled, the Operator will have the authorization to perform a No Sale from SmartPOS Workstations to open an attached Drawer
  • If this flag is disabled, the Operator will require a Manager Override to perform a No Sale (see image)

 

 

Card Authorisations
  • If this flag is enabled, the Operator will have the capability of receiving payments using a Linked Card Authorization Device
 
Multiple Sales on Hold
  • If this flag is enabled, the Operator with have the authorization to have more than one Transaction on Hold at a time
  • The Operator will also have access to recall other Operators' On Hold Transactions
  • There is not an option for a Manager Override if the Operator who is logged into the Workstation is not authorized to enter Hold Multiple Sales
  • If an Operator has this flag disabled and, therefore cannot have multiple Transactions on hold, a warning prompt (see image) will appear if they attempt to place a 2nd Transaction on hold

 

 

Stock Functions at Till
  • If this flag is enabled, the Operator will have the authorization to perform Stock Functions at the SmartPOS Workstation including Stocktakes and entering Stock Loss
  • If this flag is disabled, the Operator will require a Manager Override to perform certain Stock Functions (see image)

 

 

Managers Functions
  • If this flag is enabled, the Operator has the authorization to use Manager Functions at SmartPOS Workstations
 
Managers Overrides
  • If this flag is enabled, the Operator can authorize Manager Overrides at SmartPOS Workstations using their Operator Number
  • If the Operator who is logged into the Workstation does not have the authorization to use Manager Functions, a message window will display on the Workstation screen (see image)
    • An Operator with authorization to use Manager Functions can then enter their Operator Number to proceed with the desired function
  • If the Operator who is logged into the Workstation has other limited Privileges, they may receive a similar message prompt when trying to perform certain tasks and will require a Manager Override to proceed


 

 

Exit Till
  • If this flag is enabled, the Operator will have authorization to Exit the SmartPOS Workstation software
 
Cancel Orders
  • If this flag is enabled, the Operator will have the ability to Cancel Orders before they are Finalized
  • If this flag is disabled, the Operator will require a Manager Override to Cancel Orders (see image)

 

 

Clear Items in 'Cash' Sales
  • If this flag is enabled, the Operator will have access to use the Clear Key on SmartPOS Workstations to Remove Items from a Transaction before the Transaction is Finalised
  • The Operator will also have access to use the Clear Key to Remove Table Items from a Table after they are Saved
  • If this flag is disabled, the Operator will require a Manager Override to Clear Items (see image)

 

 

Returns and Credit Sales
  • If this flag is enabled, the Operator will have the authorization to use the Minus Key to Sell Negative Quantities of a Product and so use the Refund button when a Transaction has been recalled
  • The Refund displaying on Recalled Transactions is controlled by the Venue Maintenance Till Operations flag "No Transaction Refund"
  • If this flag is disabled, the Operator will require a Manager Override to Refund Items (see image)

 

 

Cannot Clear only Item
  • If this flag is enabled, the Operator will not be authorized to Clear an Item if it is the only Item in the Transaction
 
Preset Discounts
  • If this flag is enabled, the Operator will be authorized to use Till Functions for Preset Discount Amounts or Percentages at SmartPOS Workstations
  • If this flag is disabled, the Operator will require a Manager Override to use Preset Discount Keys (see image)

 

 

Manual Amount Discounts
  • If this flag is enabled, the Operator will have the authorization to use Till Functions for Manual Discount Amounts or Percentages at SmartPOS Workstations
  • If this flag is disabled, the Operator will require a Manager Override to use Manual Discount Keys (see image)
  • If both the Preset Discounts and Manual Amount Discounts flags are disabled, the Operator will require a Manager Override to apply all Discounts

 

 

Account Till Functions
  • If this flag is enabled, the Operator will have the authorization to perform Account Functions at SmartPOS Workstations
    • Other Operator flags may determine individual Account Privileges
  • If this flag is disabled, the Operator will not be authorized to perform any Account Functions from a Workstation (see image)
  • There is not an option for a Manager Override if the Operator who is logged into the Workstation does not have Account Functions authorized

 

 

Account Charges
  • If this flag is enabled, the Operator will have authorization to Charge Purchases to an Account
  • If this flag is disabled, the Operator will require a Manager Override to Charge to an Account (see image)
  • To Perform an Account Charge, the Account must also allow Charging and must have Credit available

 

 

Redeem Points for Products
  • If this flag is enabled, the Operator will be authorized to Redeem Account Points for Products
  • The Redeem Points flag for the Workstation and for the Account must both also be enabled
  • There is not an option for a Manager Override if the Operator who is logged into the Workstation is not authorized to Redeem Points (see image)

 

 

Redeem Points for Cash
  • If this flag is enabled, the Operator will be authorized to Redeem Account Points for Cash
  • The Redeem Points flag for the Workstation and for the Account must both also be enabled
  • There is not an option for a Manager Override if the Operator who is logged into the Workstation is not authorized to Redeem Points (see image)

 

 

Credit Money to Account
  • If this flag is enabled, the Operator will have the authorization to Add to the Account Balance by accepting a Payment that is greater than the Transaction Amount
 
Account Charge Refunds
  • If this flag is enabled, the Operator will have the authorization to use the Minus Key to Sell Negative Quantities of a Product
    • This will Refund the Product and increase the Account Balance
    • There is not an option for a Manager Override if the Operator who is logged into the Workstation is not authorized to perform Account Charge Refunds (see image)

 

 

Table Sales
  • This flag overrides all other Table-related flags
  • If this flag is enabled, the Operator will have authorization within SmartPOS Workstations to perform Table Functions including beginning a New Table, adding Products to an Existing Table, accepting Table Payments, etc.
  • This flag must be enabled for the Operator to perform any Table Functions including Closing Tables
  • There is not an option for a Manager Override if the Operator who is logged into the Workstation is not authorized to perform Table Sales (see image)

 

 

Create New Tables
  • If this flag is enabled, the Operator will be authorized to Begin New Tables from SmartPOS Workstations
  • There is not an option for a Manager Override if the Operator who is logged into the Workstation is not authorized to Create New Tables (see image)

 

 

Clear Unsaved Table Items
  • If this flag is enabled, the Operator will have the ability to Clear Items from a Table that has not yet been Saved or Sent to the kitchen
  • If this flag is disabled, the Operator will require a Manager Override to Clear unsaved Items from a Table (see image)

 

 

Return Saved Table Items
  • If this flag is enabled, the Operator will have the authorization to perform Returns using the Clear Key for Items that have been added to a Table and have already been Saved or Sent to the kitchen
    • The Operator will also have the authorization to perform Returns using the Minus Key to Sell Negative Quantities of a Product
  • If this flag is disabled, the Operator will require a Manager Override to Clear Saved Items off of a Table (see images)

 

 

Table Payments
  • If this flag is enabled, the Operator will be authorized to Enter Payments for Tables, even if the Operator is not authorized to Create New Tables

    • There is not an option for a Manager Override if the Operator who is logged into the Workstation is not authorized to enter Table Payments (see image)

 

 

Close Tables
  • If this flag is enabled, the Operator will have authorization to Close Tables that have a Zero Balance
  • If this flag is disabled, but the Table Payments flag is enabled for the Operator, they will still be able to Enter a Payment, but the Table will remain Open
  • Use this flag in conjunction with the Table Payments flag to determine whether or not you would like the Operator to have the ability to Accept Table Payments and Close Tables simultaneously

 

 

Table Waiter
  • On TableGroups that track Waiters, if this flag is enabled, the Operator can be Attached to a Table as a Waiter
  • Waiter Totals will be generated for the Operator if this flag is enabled
 
Only My Tables
  • If this flag is enabled, the Operator will only have access to View and Open Tables which are Allocated to them
  • If this flag is disabled, all Tables will be available to the Operator
 
Waiter Banker Tills Only
  • If this flag is enabled, the Operator will only have the authorization to log in to SmartPOS Workstations that have the Store Flag enabled for Waiter Banking (see image)
    • When the Waiter Banking flag is enabled for the Store, each Waiter holds their own money and pays the reported amount to the House at the end of the Operator's shift
  • If Waiter Banking is not enabled for the Store, but this flag is enabled for the Operator, they will not be able to login to any SmartPOS Workstations in that Store

 

Float Required
  • If this flag is enabled, the Operator must enter a Float Amount upon logging in to the Workstation prior to entering any sales (see image)

 

 

Declare Tips Required
  • If this flag is enabled, the Operator must Declare Tips before Clocking Out (see images)

 

 

Media Totals Required
  • If this flag is enabled, the Operator must enter Media Totals before Clocking Out (see image)

 

 

Media Totals Theoreticals Show
  • If this flag is enabled along with the Media Totals Required flag, Theoretical Media Totals will show for the Operator upon entering Media Totals
  • Disable this flag to have the Operator enter Media Totals "blindly"
 
Tables Closed Required
  • If this flag is enabled, all Tables to which this Operator is set as the Waiter must be Closed prior to Entering Media Totals
 
Tip Payout Required
  • If this flag is enabled, then when the Operator is clocking off, their Tip Total will be displayed to allow them to remove that cash amount from the Drawer
 
Use Till Allowed Stores
  • This drop-down will control in which Store/s the Operator will have the ability to use SmartPOS Workstations
  • Select a specific Store, Store Group, or allow access to All Stores
 
Till Button Privileges (1-7)
  • Each Till Function Button can have a Specific Privilege Number set for it
  • The Operator must have the corresponding Till Button Privilege flag enabled to have the authorization to use that Function Button
  • Instructions for Setting Function Button Privilege Flags - Login to BackOffice and then complete the following steps:
  1. From the Menu select Till Function Maps; this will open the Till Function Override Setup Tab
  2. From that Tab, select the desired Function Override Map
  3. A new Function Map Tab will open displaying the Till Function Panels/Buttons
  4. Select the Function Button to assign a Privilege Flag to
  5. Select the desired Privilege Flag from the Operator Privilege drop-down
  6. If desired, enable the Manager Override OK flag; this will allow for a Manager Override if the logged-in Operator does not have the authorization to use the Function
  7. If desired, enable the No Manager Required flag
  8. Save the Function Map
