18 | PO Custom Required Qty Calculation

This article documents a step-by-step guide to Custom Quantity Calculations for Purchase Orders. Custom Required Qty Calculation will only work when the "Use Sales Data" radio button is selected during User Defined Purchase Order creation. When this is selected, if there is a column in the view called "Required Qty" (with space) it will use this number to order rather than the calculation based on Sales data.

Custom Required Qty Calculation will only work when the "Use Sales Data" radio button is selected during User Defined Purchase Order creation.

When this is selected, if there is a column in the view called "Required Qty" (with space) it will use this number to order rather than the calculation based on Sales data.

Prerequisites 

  • To access and edit Purchase Order Settings, the applicable Operator Privileges will need to be enabled:
    • Operator Maintenance 'Stock Control' Tab
      • "Purchasing and Receiving" section > "Create/Edit Purchase Orders

Step-By-Step Guide

  • After running BackOffice and logging in, follow the steps below to process a Custom Required Quantity Calculation for a Purchase Order: 
    1. From the Stock Control menu, select Purchasing & Receiving 
    2. In the Purchase Order List, select the New Purchase Order function 
    3. Select a Supplier or select All Suppliers 
      • Products must have Suppliers set up before creating P.O. from Purchase Order Creation
      • If All Suppliers is selected and creating from User Defined, a prompt will enforce Splitting to separate P.O.s
    4. Select the Purchase Order type as User Defined 
    5. Select the desired Venue and Stores using the drop-down menu 
    6. In the Purchase Order Creation window, enable the Use Sales Data radio button 
    7. Select the Display Period using the drop-down menu
    8. Select the Views Icon
    9. Highlight _P.O From Sales view and then select the Edit View Function 
    10. In the View Maintenance Window, type "Required Qty" of the Override Text field in Sold Qty Name Field
      • This will allow the system to order the Qty from Required Qty Field
    11. Select OK once completed 
  • In the Views prompt screen, select the Edited View to proceed 




Creating a Purchase Order 

  • In the Purchase Order Creation Screen, select the Create Purchase Order Function
  • A prompt will appear acknowledging that the created Purchase Order contains multiple Suppliers providing the option to Split 
    • This message not be displayed if only one (1) Supplier is allocated
  • Select Yes to continue and the Purchase Order will then be Split based on the number of Suppliers for the Products
