This article covers the foundational Concepts and Setup for Product Profiles and how they are used in BackOffice. Product Profiles provide an option to create a characterization based on selected parameters which will then group together the Products which meet those parameters.

Product Profiles provide an option to create a characterization based on selected parameters which will then group together the Products which meet those parameters.

The parameters can include a variety of Standard Product Fields and  Custom Info  Fields. Standard Product Fields contains Base Settings, Flags, and Including or Excluding specific Product Groups. Custom Info Fields contains the Custom Flag Fields, Custom Text Fields, and Custom Number Fields which are customized for Products.

 

Prerequisites
  • In order to access and maintain Product Profiles, an Operator must have the Maintain Product Profiles privilege flag enabled within Operator Maintenance



 


Getting Started
  • Once the prerequisite has been met, Operators can now Create and Edit Product Profiles by following the given steps:
    1. Go to BackOffice > Maintenance
    2. Click on Product Profiles from the side menu which will open the Product Profiles window

 

 

Feature/ Function

Description

Add Product Profile
  • This button will open a Product Profile Setup window where Operators can create a new Product Profile
Edit Product Profile
  • This button will open the Product Profile Setup window for whichever Existing Product Profile has been selected to allow for Editing of that Profile
Delete Product Profile
  • This button will Delete the selected Product Profile after a prompt
Re- Create KeyLists
  • This button will Update all of the KeyLists for Product Profiles that have the Auto Maintain Keylists flag enabled
  • This will essentially refresh which Products will display at a SmartPOS Workstation for that KeyList
Print List
  • Clicking on this button will Print the list of Product Profiles

 

 
Adding & Editing a Product Profile
  • Whether Adding a New Product Profile or Editing an Existing Product Profile, the configuration will remain the same
    • If Adding a New Product Profile, click the Add Product Profile button within the Header Section of the Product Profiles Tab
    • If Editing an Existing Product Profile, select the desired Profile and either double-click on it or click on the Edit Product Profile button within the Header Section
  • Either route will open the Product Profile Setup window

 

  • The only differences between Adding a New and Editing an Existing Product Profile can be seen here
    • New Profile will be displayed in the Header for a New Product Profile while Editing an Existing will display Edit: followed by the name of the Product Profile
  • An Existing Product Profile will have it's selected parameters highlighted in yellow
  • The Fields and Flags within the Product Profile Setup window will set the configuration for the Product Profile; these will be explained in detail below

  Field/Feature

  Description & Information

Profile Name
  • This is the Name for the Product Profile
  • If the Product Profile is Maintained as an Auto KeyList, this Name will also be copied over to the KeyList, however with PP_ in front of the Name designating that it is a Product Profile

     

    • For example, this Product Profile will appear with the KeyList Name PP_Featured Foods

     

Set Parameters
  • This will display which parameters from both Tabs have been chosen for this Product Profile
Maintain Auto Keylist
  • If this flag is enabled, the Product Profile will be maintained as a KeyList and will appear with other KeyLists for selection

         

KeyList Size
  • Select the Size to apply the Product Profile to when it is being Maintained as an Auto KeyList
  • Only the selected Size will be available/applied when the Auto Maintained KeyList is used on a KeyMap or in a Promotion

 

Standard Product Fields

  • Selecting Ignore for any of the Fields will not take that Product Information/Setting into account at all for the Product Profile

Base Settings

 

Field

Description

Product Mode
  • This is used to select which Product Mode will be included in the Product Profile
Product Type
  • This is used to select which Product Type will be included in the Product Profile
Product Sort
  • This is used to select the Sort of Product to include in the Product Profile
  • Product Types & Product Sorts are maintained in Global Settings
Store Type
  • This is used to select which Store Type will be included in the Product Profile
Export Codes
  • Export Code 1-4 is used to select how the operators would like the Product Profiles to associate to an Export Code

 

Flags

  • The options available in the Flags section can be marked as True or False
  • These two variables can be used for taking into account whether or not each of these Flags is enabled (Is True) or not enabled (Is False) or  can be Ignored
  • The Options within the Flags section are
    • Non Stocked
    • No ReOrder
    • Daily Special
    • No OverSell
    • Manufactured
    • Scale Product

 

Product Groups

 

Field

Description

Included Products
  • This field allows operators to Select a particular Product Group so that only Products within that Product Group will qualify to the Product Profile
  •  Initially, all the Product Groups are selected by default
Excluded Products
  • This field allows operators to Select a particular Product Group that is excluded from the Product Profile
  • By Default, None is Selected

Other Info Custom Fields

 

 

Section

Description

Custom Flag Fields
  • These flags are custom criteria set up by the Organization on the Custom Info tab for Products
  • If these flags are enabled, only the products having the same flags turned On will be included in the profile
Custom Text Fields
  • These are custom text data fields set up by the Organization on the Custom Info tab for Products
  • In the example, the Custom Text Field, Supplier been set to Equal AAB meaning that only Products which have been marked as coming from that Supplier will qualify for this Product Profile
Custom Number Fields
  • These are custom number data field set up by the Organization on the Custom Info tab for Products
  • Setting Custom Number Fields will only include the products having the same information in their Custom Number Field

 

 
Finalizing
  • To check which Products qualify for the Product Profile, click on the View Products button below Product Groups

  • This will open the Product List where Operators will be able to see only the Products that qualify for the Product Profile

  • To make sure that all the available products are visible, select Base Product Group and enable the Sub Products Flag
    • In this example, there are three (3) Products which meet all of the Product Profiles selected parameters
  • Products can be Added and Edited from this window; if the qualifying Products list is not satisfactory, Operators may Edit Products in order for them to qualify
