4 | Receiving & Responding to Messages via SmartPOS

This article covers the process of receiving Operator Memos and Messages via SmartPOS and also responding to them. Continuing on from the Introduction to SmartPOS Messages article, this article will focus on receiving and responding to Messages in SmartPOS via the 'Your Messages' facility which allows Operators to view and respond to their Messages Memos. There are a variety of response options depending on the sender's requirements. Optionally, Messages can also be Printed and/or Saved.

This article covers the process of receiving Operator Memos and Messages via SmartPOS and also responding to them.

Continuing on from the Introduction to SmartPOS Messages article, this article will focus on receiving and responding to Messages in SmartPOS via the 'Your Messages' facility which allows Operators to view and respond to their Messages & Memos. There are a variety of response options depending on the sender's requirements. Optionally, Messages can also be Printed and/or Saved.

Your Messages

  • An Operator can view all of their current Messages and Memos by tapping on the Your Messages Function button
  • If an Operator has no Memos, a prompt will appear
  • If an Operator does have Memos, a Message Inbox window will open displaying all of the Operator's current Memos



  • The Operator can view a Memo either by double-tapping on the desired Memo or by highlighting and tapping on the "View Memo" button
  • Or the Operator can tap the Exit List button to close the Memos window and return to the main SmartPOS screen; in this case, the Memos will be saved and can be accessed at a later time

Responding to a Message

  • If the Operator selects a Memo to View, it will open in an Operator Memo window which will display the full Message and may offer options depending on if the Sender has requested a reply back or not
  • If the sender has requested a "Yes" or "No" Response, the Operator will need to tap either Respond NO or Respond YES
    • After selecting a Response, a prompt will appear for the Operator to confirm sending a Message; a second prompt will then appear to confirm that the Message has been sent


    


  • If the sender has requested a text Response, an Enter Response button will be available for the Operator to tap; this will open an alphanumeric keyboard allowing the Operator to Respond to the Sender's Message


    • After entering a Response and tapping OK, a prompt will appear for the Operator to confirm sending a Message; a second prompt will then appear to confirm that the Message has been sent

          


  • If the sender has not requested a Response, the Operator can still choose to send a Reply, in which case a window will open with an alphanumeric keyboard allowing the Operator to Respond to the Sender's Message

    


    • After entering a Reply and tapping OK, a prompt will appear for the Operator to confirm sending a Message; a second prompt will then appear to confirm that the Message has been sent

        

  • After a Response has been sent for a Message, the Reply button will still be available if the Message is saved

Printing a Message

  • After a Message has been opened, the Operator can choose to print it by selecting the Print Memo button


  • The Message will print to the Workstation's designated Printer
  • After Printing, the Message will save automatically and the Message Inbox window will reappear

Saving a Message

  • The Operator can save an opened Message by tapping on the Keep for Later function button


  • This will save the Message for future use and the Message Inbox will reappear if there are additional Message in the Operator's Inbox

Deleting a Message

  • To delete a Memo from the Message Inbox, tap on the Close Fully button
  • If the sender has requested a Response, the Message will not be able to be deleted until a Response has been sent
    • If a Response has not been sent and the Operator taps on the Close Fully Key, a prompt will appear notifying the Operator that the Message requires a Response; the Message will then be saved to allow the Operator to Respond at a later time
