5 | SevenRooms Interface - "Table Open Booking Grid" Till Function Button Setup

Prerequisites

  • Minimum Bepoz version of v4.7.2.0 and onwards
  • To access the Till Function Map, the following Operator privileges must be enabled
    • Operator Maintenance 'General' Tab
      • System Setup: 'Maintain Till Function Maps' flag

"Table Open Booking Grid" Sub-Function

 

Till Function Configuration

  • After selecting the desired Till Function Map and Panel, click on the desired button space and then complete the following steps to configure the Booking List Till Function:
    • In the Button Text field enter the text that will display on the Till Function Button in SmartPOS
    • Set the Function drop-down to 'Tables & Accounts'
    • Set the Sub-Function to 'Table Open Booking Grid'
    • Enter the required value in the Item field 
      • Item=0 To display all the booking list
      • Item=1 Displays the bookings which are seated only
      • Item=2 Displays the bookings which are not seated only
      • Item=4 Displays the bookings which are active only
      • Item=8 To search the booking info
    • Enter the required value in the SubItem field
      • SubItem =1 - Displays the bookings for the current day
      • SubItem =2 - Prompt is displayed to the Operator to select a period
      • SubItem = 4 - Displays the bookings for tomorrow
      • SubItem = 8 - Displays the bookings for next 3 days
      • SubItem = 16 - Displays the bookings from next 7 days
      • SubItem = 32 - Displays bookings from Yesterday
      • SubItem = 128 - Displays the last week
      • SubItem = 256 - Displays bookings for the current week
      • SubItem = 512 - Displays bookings from next week
        • Note: SubItem =0 is not supported for Booking Grid Till Function Button
    • Enter the required value in the Key field
      • Key field allows to filter the bookings by shifts 
      • Supported Shifts are
        • Breakfast
        • Lunch
        • Dinner
        • Brunch
        • Day
          • Note: These shift names must match to Shifts in SevenRooms Diary

Booking Grid SmartPOS Workflows

  • There are some different Workflows that can occur when using this Till Function depending on the situation
    • Due to this, not all possible Workflows can be covered in this article, however, all Table Grid options are included and basic Workflows are demonstrated
  1.  Begin by logging into SmartPOS and navigating to the panel where the Till Function button is located then click on the Table Open Booking Grid Till Function button
  2. The Table Booking Grid will now open
    • Time is across the top x-axis in 30-minute increments
    • Table Numbers along the left, y-axis
      • All of the Bookings for the day will be shown in the Grid at the point where the Bookings' Table Numbers and the Times intersect
      • Scroll bars allow for navigating to different Times and Tables
    • Each Booking will show the Guest Name and will extend along the x-axis for each Booking's duration of Time
    • Bookings will be listed by ascending time
    •  Vertical dashed lines will designate the separation of Service Periods
    • An orange vertical line will mark the current Time
    • The current bookings can be viewed using the Now button; this displays the books available at the current time
    • The Grid can be Refreshed at any time using the Refresh button; this will update the data retrieved from SevenRooms

View Booking Details

  • To view basic Booking Info for a Booking using the Booking Grid, complete the following steps:
    1. Tap on the desired Booking
    2. A panel will expand from the right side which will show the Dining Booking Summary and will also offer additional workflows via buttons on the bottom of the panel:
      • Details
      • Open
      • Cancel
    3. To view the Booking Details, tap on the Details button in the panel
    4. After the data is retrieved from SevenRooms, a window will open displaying the Booking Details as shown in the below image

Opening a Booking

  • To Open any Booking from the Booking Table Grid, complete the steps 1 & 2 from above and then complete the following steps:
    1. Tap on the Open button from the panel
    2. The Booked Table will now be Open and the Account linked to the SevenRooms Booking will be attached to the Transaction as noted by the Account Information above the Transaction window (depending on the Till Extension configurations) 
      • Operators can proceed through normal Transaction Workflows of adding Products, applying Discounts, performing other Functions, etc.
