1 | Table Groups Explained

This article discusses Table Groups and the relevant configurations that can be made in BackOffice. Table Groups allows for grouping multiple tables that have similar feature(s) so that settings and configurations can be applied to all the tables of the same group.

This article discusses Table Groups and the relevant configurations that can be made in BackOffice. 

Table Groups allows for grouping multiple tables that have similar feature(s) so that settings and configurations can be applied to all the tables of the same group.

Prerequisites 
  • To access Table Group features, the applicable Operator Privileges will need to be enabled 
    • Operator Maintenance 'General' Tab
      • System Setup: "Access Venue, Stores & Tills" Flags 
      • System Setup: "Maintain Venue, Stores & Tills" Flags 

Table Groups
  • To Access Table Groups go to System Setup  > Venue, Stores & Tills
  • Double Click on a specific Venue to Open Venue Maintenance
  • Click on the "Tables" Tab

  • The left column lists the 8 Table Group names which are numbered from 0 to 7
  • The functionality defined here specifically applies to the first 8 Table Groups and subsequent Table Groups up to 256 when using Table Group Offsets; for more on this, see below
Configurations

Column  

Explanation

Table Group Name 
  • Multiple Sets of Name can be Added within a Venue
  • This can be used for Bar Tabs, Restaurant and Bistro etc.
Price Number Adjust
  • This allows to direct each table group to a specific Price Number from the 8 Price numbers of the system so that a particular table group, regardless of the store it is in, can be set to use a specific Price Number
Off-Line Till
  • The column allows you to define which till, preferably in that “store” for ease of use, is the till that will hold all the table details. In the event of a server failure only that till should be used during the period the server is inaccessible as it will have all the previous table details of charges on it and it will continue to support this in offline mode. Consideration should be given to what device the Kitchen Printers are connected as ideally it should be the same till.

    When the server is back online the till per group holding the detailed table data will update the charges by a table that were entered when the till was offline so that all table balances are updated to the server and are available immediately to all tills when back in interactive mode

Ask Name
  • Prompts to ask Name when a new table is created
Ask # Guests
  • Prompts to ask Number of Guests when a new table is created

Note: From Bepoz v4.7.2.0, additional check has been added and Operators must enter a guest count greater than zero

Ask Seat
  • Prompts to ask the seat of Item when Adding Items on the table
Do Not Ask Close
  • Automatically Closes the table when the table has items on it and the balance is fully paid
Ask if Change/ Tip
  • By default an overtender on a table is returned as change
  • If set, then Cash&Currencey overtenders will be asked if change or tip and all other overtenders will automatically be set as a tip
ReOpen on Reprice
  • If a table has an account attached to it and the items are subsequently repriced ( hence the table is saved), if this is set, the table will automatically re-open immediately
Warning  Minutes
  • Automatically flag a warning on a table after these numbers of minutes of first being created. Use if a highlighted turnover is required
Do Not PreAuth
  • If a linked credit card system is used, by default the first charge to a card is only a pre-Auth. set this to simply charge immediately to the card
Single Use Only
  • By Default, a table can be opened and worked on at multiple tills concurrently
  • Set this flag to allow only one till to use the table exclusively
Waiter Required
  • A waiter must be set for each table/tab in this table group
Pre Auth On Open
  • If you are using an external EFTPOS system that has Pre- authed turned on, on table create you will be prompt to enter an authorized amount for the table
Pre-Close Tables
  • If this flag is enabled, then Tables/Tabs in this Table Group will be Pre-Closed
    • Meaning that after the Transaction has been fully Paid, the Table will remain as "Unavailable" until it is marked as Closed/Available in SmartPOS
No Offset
  • This flag controls whether or not the Table Group will Offset when using TableGroup Offset
 

TableGroup Offset
  • This feature is configured per Store in Store Maintenance and allows for using additional Table Groups beyond the eight (8) that can be set up for each Venue
  • Table Group Offset allows operators to use the configurations of the Venue's TableGroups, yet have a separate Offset to other Stores in the Venue (or share an Offset with other Stores)
  • To Edit the TableGroups Offset; Go to Store Maintenance
  • Click on the General Tab
  • Change the TableGroup Offset from the Drop-down menu as shown below

         

  • The Offset of Table Group Numbers starts with 8 (so the first possible Offset would use Table Groups #8 - #15) and increases by 8 for each incremental Offset up to #240 - allowing for 30 TableGroup Offsets
  • So, if the second restaurant uses TableGroup Offset by 8, then it will utilize the Table Groups #8 through #15 where each Table Group uses the configurations from the corresponding Table Groups #0 through #7, e.g., #10 uses #2's configurations

           

  • The Offset Table Group Numbers can then be used when configuring Table Function buttons that are Table Group specific
  • To do this; Go to System Setup > Till Function Map
  • Double Click the Venue
  • Select the Table Group from (0-7) in the Item box
